The properties with the right general session space for 150–400 people in that window are booked by the previous spring. Waiting until Q4 to plan a January SKO means choosing from leftovers at premium rates.

Book the venue before the content exists

The common blocker is 'we do not know the number or the theme yet.' You do not need either. You need a headcount range and a date range. Contract with a block you can adjust and review dates that let you release rooms penalty-free at 120 and 60 days.

A single-property program instead of a split block. General session and breakouts in one venue. Rehearsal time on the actual stage. And a rate set before the January surge — typically 20–30% below what the same room costs when booked in November.
