Corporate Retreats

A retreat that actually moves the business forward: real working sessions, real downtime, and none of the coordination load landing on your team.

Overview

What this program looks like

Corporate retreats fail in the details: a meeting room that seats 40 for a group of 70, a transfer schedule built for one arrival wave when your team lands across nine flights, a resort that photographs beautifully and has no quiet space for breakouts.

We plan retreats backward from your agenda. Before we shortlist a single property we map your general sessions, breakouts, meals, free blocks, and the one signature evening the trip will be remembered for. Then we source resorts that can hold all of it without compromise.

From contract to departure, we handle the group room block, meeting space, F&B minimums, AV, transfers, attendee communications, and on-site coordination. Your team shows up and participates instead of running logistics.

Who books this

VP of People / Head of HR at a 150-800 person company

Your workforce is distributed, your leadership team has not been in the same room in nine months, and the executive team has approved a budget for one annual gathering that has to be worth the spend.

What's on your plate today

  • You are the default planner even though planning is not your job
  • Finance wants one number, not thirty invoices
  • Attendees expect a flawless experience and will remember any friction
  • Room blocks and airfare move against you the longer you wait

What changes when we run it

  • One point of contact from sourcing through departure day
  • A budget you can defend in an approval meeting
  • Zero rooming-list spreadsheets living on your laptop
  • A retreat your team talks about into next year

Sample program

A typical run of show

Every program is built around your agenda. This is the shape most corporate retreats take.

  1. Day 1

    Staggered arrivals and welcome reception

Private airport transfers meet attendees across the full arrival window. Group check-in with keys and welcome packets pre-assigned, then a beachfront welcome reception with light programming.

  2. Day 2

    Leadership general session and breakouts

Morning general session with full AV, followed by facilitated breakouts in dedicated rooms. Working lunch on the terrace, afternoon open for optional group activities.

  3. Day 3

    Cross-team workshops and signature dinner

Workshop tracks in the morning, an afternoon group excursion built for mixing teams, and a private beach dinner with a short recognition moment.

  4. Day 4

    Closing session and departures

Commitments and next-steps session before checkout, luggage storage for late flights, and transfers timed to each departure.

Q1 and Q2 group blocks are contracting now

Every month you wait costs you money and options

Group space for peak-season retreat dates is contracted 9-14 months ahead. The properties that fit your agenda are being blocked right now by companies that started earlier.

Group rates rise as inventory tightens

Resorts price group blocks against remaining inventory. The same room booked six months later routinely runs 15-25% higher, before airfare moves.

The best meeting space goes first

There is only one main ballroom. Once a property contracts a group for your week, your agenda has to bend around what is left.

Airfare punishes late planning

Group air and individual fares both climb inside 120 days. On a 90-person retreat that difference alone can exceed the cost of the welcome reception.

Attrition terms are better early

Booking early gives us leverage to negotiate lower deposits, softer attrition, and comped rooms — flexibility you simply cannot buy later.

Questions

Before you request a proposal

How far in advance should we start?

Eight to twelve months is ideal for groups over 50. We regularly run programs on shorter timelines, but options narrow quickly inside six months.

Do you handle flights?

Yes. We coordinate group air contracts or individual bookings, and manage arrival and departure schedules against your transfer plan.

What does it cost to work with you?

You get one consolidated proposal with all program costs itemized. Our compensation is built into the program pricing, and we show you the full number before you commit.
