What this program looks like

Conferences are where offshore group travel gets genuinely complex: staff, speakers, sponsors, and paying attendees all need different rates, different rooms, and different arrival plans, and every one of them is looking at the same agenda.

We start from the room-set requirements — general session seating style, concurrent breakout count, expo or sponsor footprint, meal service capacity — and only shortlist venues that clear all of them at once.

Then we run the rest: multi-tier room blocks, registration-aligned rooming lists, arrival management, AV and F&B scheduling, and on-site logistics support from load-in to final departure.

A typical run of show

Every program is built around your agenda. This is the shape most meetings, conferences & conventions take.

  1. Pre-day

    Load-in and staff arrival

    Staff and speaker arrivals, AV load-in, room-set verification, sponsor setup, and a full walkthrough with the property.

  2. Day 1

    Registration and opening session

    Attendee arrival waves and transfers, on-site registration desk, opening general session, and a welcome reception.

  3. Day 2

Large-venue calendars are filling 12–18 months ahead

Convention-scale space is the scarcest thing you will book

There are a limited number of properties in Mexico and the Caribbean that can hold a 300-person general session plus five breakouts. Those calendars fill 12-18 months out.

For conference-scale programs the question is not what it costs — it is whether anything suitable is still available on your dates.

Registration, sponsorships, and speaker commitments all depend on a confirmed venue. Every week without a contract is risk carried into a published program.
